Terms & Conditions

By entering this rental agreement with In Bloom, you (The Client) agree to the following terms and conditions:

 

Payment: In Bloom offers 2 payment options: 

  1. Full payment due up front

  2. Payment in two installments (30% at time of booking, 70% 30 days before event)

 

If installments are chosen, then the initial retainer will be deducted from the total invoice, to be paid 30 days prior to event. Booking will only be confirmed once initial payment has been made. Any additional balances for delivery costs, add-ons or substitutions must be paid no later than 30 days prior to the event date. This policy ensures that we can provide the highest level of service  and enables us to  allocate resources and staff accordingly. We appreciate your understanding and cooperation in adhering to our payment policies. If you have any questions or concerns, please do not hesitate to contact us.

 

Disclaimer: Please note that In Bloom’s rentals feature a combination of artificial and sometimes real flowers. Therefore, by renting our floral arrangements you understand that though these flowers look real and are named after real flowers, many of them are in fact artificial and therefore only resemble the real flower for which it is named after.  We use only high-quality real-touch artificial flowers that are carefully selected and arranged to create each client’s desired aesthetic.

 

Balance Due: The balance due must be paid in full at least 30 days prior to your event. Please note that failure to pay the balance in full may result in cancellation and closure of the contract by In Bloom Rentals. If In Bloom Rentals determines the contract can still be fulfilled after this date and you wish to continue the contract, there will be a 10%  added to the balance due, with an additional 10% fee added for every 7 days that the balance remains unpaid. Any additional costs that arise from late payment will be passed on to you.

Any additions made less than 30 days prior to your event, will be accepted at the discretion of In Bloom Rentals up to 7 days prior to the event and must be paid within 24 hours. No guarantee is given that the same flowers will be available, and pricing will be determined according to what is available. Color and style will be matched as closely as possible.

Substitutions: In Bloom Rentals reserves the right to make substitutions in the event the flowers or decor received are not of the quality suitable for your event. The integrity of the proposed look and color scheme will be maintained and flowers of equivalent value will be used. In Bloom Rentals will inform you if a dyed flower is being used and will not be held liable for staining any garments due to their usage.
 

At the time of the initial retainer, adjustments can still be made to the invoice. Any large additions and subtractions are accepted up until the balance is paid in full. There is a guaranteed minimum payment of 85% of the original invoice. Any liability on the part of In Bloom Rentals is limited to the full refund of monies paid minus the retainer fee. Due to fluctuating flower prices, price increases may occur and will be passed onto the customer if their rental includes fresh flowers. The customer will be notified as soon as In Bloom Rentals is made aware of these increases. In Bloom Rentals will send the customer an invoice for the additional cost, to be paid within 30 days of the event.

Location and Setup: The listed rental price outlined on In Bloom’s website is for a one-time setup in one location only. If you require any of In Bloom’s rental items to be moved from one location to another location on the same site (e.g. from the ceremony to the reception), additional fees may apply. Please keep in mind that most of our arches and pillars are large and cannot fit through normal doorways. As a result, our team must disassemble and transport them to the new location, then reassemble the arches/pillars and reconfigure the florals. For insurance purposes, only our team can move our items unless approved in writing from In Bloom prior to your event.
 

To avoid any issues on the day of, we kindly ask that you ensure our rentals will fit in the desired space before confirming your order with us. All measurements are included in the product details of each floral piece. 
 

Delivery and Pickup: All orders include delivery, setup, and pickup. We have a pickup time of no later than 9:00PM, and we deliver within 30 kilometres of New Westminster, B.C. Pickups past 9:00PM will incur an additional fee. The delivery cost for orders outside of 30 kilometres is typically  $1.00/kilometre with a maximum distance of 60 kilometres. This is determined based on location and whether or not it involves setup from our movers and/or florist. Please contact us and we can provide an exact quote based on the information provided. 
 

Late Night Pickup Fee: Any pickups past 9:00PM will be subject to a late night pickup fee which can be found below:

9:30PM: $50
10:00PM: $100
10:30PM: $150
11:00PM: $200
11:30PM: $250
12:00AM: $300

Product Handling: None of In Bloom’s rentals can be left outside overnight, including the pillars, arches, flower arrangements, backdrops or aisle flowers of any kind. Our rental items also cannot be left in the rain for any period of time. If rain is expected and our rentals are being used at an outdoor event, we will need to pick up the items early. 

No one outside of In Bloom’s staff is permitted to transport, take down, or move our rentals without prior written approval.

Any damage incurred to In Bloom’s rentals beyond natural wear while renting our items will be responsible for paying in the amount of 2 times the cost to rent the item. If an item is not returned within the timeframe outlined in your rental agreement, you will be responsible for paying 4 times the cost to rent the item.

 

To ensure we can help you execute your desired vision, In Bloom asks that you inform us in advance if there is any other decor you plan to incorporate at your event. Any decor not provided by In Bloom is not guaranteed by In Bloom, even in cases where In Bloom’s items are integrated. In such cases, any alterations deemed necessary will be made to preserve consistency and In Bloom will not be held liable.

Venue and Location Limitations: In Bloom is limited by the rules and guidelines of the location(s) and site management. It is the sole responsibility of The Client to negotiate with venue staff regarding moderation of any guidelines and/or restrictions; In Bloom will offer technical recommendations only. In Bloom is not responsible for reimbursing the customer for any unused items due to venue limitations not communicated to In Bloom prior to the event.

Adverse weather clause: In Bloom reserves the right to prioritize the safety of its staff and and the integrity of its products. In the event that adverse weather conditions, including wind gusts over 10mph, are forecasted or present at the scheduled setup time, In Bloom retains the right to delay or cancel the setup of its rentals if a suitable alternate location cannot be agreed upon.

Notification and rescheduling: In the event that In Bloom determines that adverse weather conditions may impact the setup, we will make every effort to notify The Client as soon as possible via the contact information provided. In Bloom and The Client will then discuss the best course of action, which may include rescheduling the setup for a mutually agreeable date and time, subject to product availability and the terms outlined in the original contract.

Cancellations: In Bloom requires a 90-day cancellation notice, otherwise your retainer cannot be partially refunded. In the event of a war, fire, tragedy, pandemic, natural disaster, or other emergencies within 90 days of your event, we will move your retainer free of charge to another date. 

​

Retainers will not be refunded in full. They will exclude any payment processing fees incurred.

​

In Bloom reserves the right to cancel this contract if at any time In Bloom feels that the obligations cannot be met. In Bloom will credit the amount paid by The Client, minus any costs incurred up to that point that In Bloom Rentals informs you of, as outlined above.

Any controversy or claim arising out of or relating to this contract, or the breach thereof, shall be settled by arbitration administered by the Vancouver International Arbitration Centre in accordance with its Commercial Arbitration Rules [including the Optional Rules for Emergency Measures of Protection]. The arbitration hearing shall take place in Vancouver, BC before a single arbitrator. Judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.
